1. Introduction

Leaders of Change Foundation Ltd. (“we”, “us”, “our”) is committed to protecting the privacy and security of personal information we collect and hold. This Privacy Policy explains how we collect, use, disclose, store, secure and dispose of personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

2. Scope

This policy applies to all personal information collected and held by us in the course of our operations, including:

  • donations and ticketing for our events,
  • supporter, donor and volunteer records,
  • staff and contractor records, and
  • other interactions with our websites, forms, or communications.

3. What is Personal Information?

“Personal information” is information or an opinion about an identified individual, or an individual who is reasonably identifiable. This can include your name, contact details, address, email, phone, donation history, ticket purchases, and payment-related information. Some “sensitive information” (e.g., health information) is subject to additional protections under the APPs.

4. Collection of Personal Information

  • We collect only the personal information that is reasonably necessary for our functions and activities (e.g., processing a donation or ticket purchase, issuing receipts, managing supporter relations).
  • We may collect information directly from you (e.g., via our websites, ticketing/donation forms, email, phone, or at events) or from third parties (with your consent or as permitted by law).
  • At or before the time of collection, we will provide a notice describing what we collect, why we collect it, how we use it, and who to contact.
  • We apply a data minimisation approach and do not collect information simply because it may be useful later.

5. Use & Disclosure of Personal Information

We use personal information for the primary purposes for which it was collected, including to:

  • process donations and ticket purchases,
  • issue receipts and acknowledgements,
  • communicate about our events, initiatives and impact,
  • manage supporter and volunteer relationships, and
  • comply with legal, regulatory, audit or reporting obligations.

We will not use your personal information for unrelated secondary purposes without your consent, unless an exception under the Privacy Act applies.

We may disclose personal information to third-party service providers who assist us (e.g., payment processors, ticketing platforms, IT and cloud hosting, email/SMS services) under contracts that require them to protect your information. We do not sell or rent personal information. You may opt out of direct marketing communications at any time.

6. Overseas Disclosure

Some service providers may operate or store data overseas. Where we disclose personal information to overseas recipients, we will take reasonable steps to ensure they handle your information in a way that is consistent with the APPs.

7. Storage, Security & Retention

  • We take reasonable steps to protect personal information from misuse, interference, loss, unauthorised access, modification or disclosure.
  • Measures may include access controls, encryption (where appropriate), secure payment processing via third parties, staff training and regular reviews.
  • We retain personal information only for as long as necessary for the purposes for which it was collected and to meet our legal/regulatory obligations. We then securely destroy or de-identify it.

8. Access & Correction

You may request access to the personal information we hold about you, or request that we correct it if it is inaccurate, out-of-date, incomplete, irrelevant or misleading. We will respond within a reasonable time. If we refuse a request (in the limited circumstances permitted by law), we will provide written reasons and explain how you can complain.

9. Data Breach Response

If an eligible data breach occurs (e.g., unauthorised access, disclosure or loss of personal information likely to cause serious harm), we will assess and manage the incident and, where required, notify affected individuals and the Office of the Australian Information Commissioner under the Notifiable Data Breaches scheme.

10. Cookies, Analytics & Website Tracking

  • We use cookies and similar technologies to improve user experience, measure performance, and analyse traffic on our websites.
  • Cookies may collect anonymous usage data; where personal information is collected via cookies or tracking, it is handled in accordance with this policy.
  • You can control or disable cookies via your browser settings; this may impact some site functionality.

11. Fundraising & Ticketing Information

We use this information to process transactions, issue receipts, and comply with charity and fundraising obligations. Records are retained in line with ACNC/ATO requirements.
